Step 4: Set Up Products and Inventory

This step covers everything you need to prepare your store for selling: building your product catalog, organizing product categories, adding modifiers, managing discounts, and setting up inventory movements to keep your stock levels accurate.

1. Create Product Categories

Categories help you organize your products and make navigation easier during checkout.

How to Create a Category

1. Go to Products on the top menu, then select Categories.

2. Click + New Category.

3. Enter the category name, set the sorting if needed, and upload an image or choose a color for easier visual identification. Click Save to finish. Once saved, this category will be available during product creation.

 
2. Add Products

Adding products allows your POS to recognize items during checkout, inventory management, and reporting.

How to Add a Product

1. Go to Products on the top menu, then select Products.

2. Click + New Product.

3. Fill in the required information:

  • Name
  • Kitchen Display Name (optional)
  • Barcode or click Generate
  • SKU
  • Category
  • Description (optional)
  • Color
  • Upload Product Image (optional)

4. Assign Modifier Groups if the item has add-ons or options.

5. Under Measurements, select the Unit of Measure.
6. Under Price and Inventory, enter required information:
7. Under Product Options, enable it based on your products needs:

8. Click Save Product. Your new product will appear in the product list and can now be stocked.

 

3. Create Modifier Groups and Modifiers

Modifiers allow customizable product options, such as sizes, add-ons, and toppings.

How to create a Modifier Group

1. Go to Products on the top menu, then select Modifiers.

2. Click + Add modifier group.

3. Fill in the required information; once done, click on the Add new modifier group button.

How to create a Modifier

1. Go to Products on the top menu, then select Modifiers.

2. Click + Add modifier.
3. Fill in the required information; once done, click on the Add new modifier button. Modifiers will now be available to assign to relevant products.
 

4. Set Up Discounts

Discounts allow you to apply promotional pricing during checkout.

How to create a Discount

1. Go to Products on the top menu, then select Discounts.

2. Click + Add new Discount.

3. Fill in the required information

3. Once done, click on the Add new discount button to save. Your discount will now appear in the POS during transactions.

 

5. Inventory Setup

BIYO POS includes stock management tools that allow you to add, remove, adjust, and transfer inventory across store locations. These movements help keep stock levels accurate.

A. Stock In

Use this when receiving new items or adding stock into your store.

How to perform Stock In

1. Go to Inventory on the top menu, then select Stock In.

2. Fill in the required information and add items by scanning barcodes or searching for products manually.

3. Once finished, click Complete Movement. This increases your inventory quantity.

B. Stock Out

Use this when stock needs to be removed (damages, expired items, manual removal).

How to perform Stock Out

1. Go to Inventory on the top menu, then select Stock Out.

2. Fill in the required information and remove items by scanning barcodes or searching for products manually.

3. Once finished, click Complete Movement. This decreases your inventory quantity.

C. Stock Adjustment

Use this for correcting discrepancies between system stock and physical stock.

How to perform Stock Adjustment

1. Go to Inventory on the top menu, then select Stock Adjust.

2. Fill in the required information and adjust items by scanning barcodes or searching for products manually.

3. Once finished, click Complete Movement. This replaces the stock quantity with the adjusted total.

D. Stock Transfer

Use this to move inventory between store locations.

How to perform Stock Transfer

1. Go to Inventory on the top menu, then select Stock Transfer.

2. Fill in the required information and transfer items by scanning barcodes or searching for products manually.

3. Once finished, click Complete Movement. This deducts stock from the source store and adds it to the destination store.
 

6. Print Barcode Labels

Barcode labels help speed up scanning at checkout and during stock movements.

How to Print Barcode Labels

1. Go to Inventory on the top menu, then select Print Barcodes.

2. Click + Create Template to design your label layout. Add items under Select Items by searching for products, choose the number of copies, then click the + Add button.

​3. View the label preview on the right side, then print your labels using your connected printer.
